Five attachment mistakes that stall vendor onboarding
Registration scans, insurance naming, and folder chaos — the gaps we see most often in Seoul intake packets.
When a vendor onboarding application sits unread, the cause is rarely exotic. Reviewers open the folder, look for the business registration certificate, and find a crop that cuts off the registration number. Or the insurance certificate names a trade name that does not match the application header.
What we flag repeatedly
- One-sided scans of registration certificates when the reverse carries seals or amendments.
- Insurance certificates that list an old warehouse after the supplier moved.
- Bank letters on letterhead that omit the account holder’s legal name.
- Questionnaire PDFs exported without the signature page.
- Loose email forwards instead of a numbered attachment index.
None of these require special tools to catch. They require time and a checklist that says “both sides” instead of “registration certificate: yes/no.”
A habit that helps
Ask vendors to submit a one-page index that lists each file name beside the checklist line it satisfies. Space Insight audits move faster when that index exists — and buyers spend less time hunting inside nested folders.
