Writing an onboarding checklist people can actually finish

How to keep vendor application checklists specific enough for auditors without turning them into novels.

A checklist that merely says “compliance documents” invites creative interpretation. A checklist that lists forty near-duplicate items invites fatigue and copy-paste answers. The useful middle names each artefact, who must sign it, and how fresh it must be.

Prefer artefacts over themes

Write “Original business registration certificate (사본 acceptable if stamped), issued within 3 months” rather than “Company legitimacy.” Auditors — including Space Insight — can then mark a binary result and move on.

Separate “must have now” from “collect later”

Some buyers load quality manuals into the onboarding application even though production approval happens weeks later. That practice stretches the packet and delays suppliers who are otherwise ready to trade samples. Split the intake into onboarding-critical papers and post-approval evidence.

Version the checklist

When legal updates a clause, put a version date in the footer. Our application audits always ask which version the packet was built against; mismatched versions create false gaps.
